Privacy Policy

This Privacy Policy explains how LeaseBuilder (“we,” “us”) collects, uses, discloses, and protects personal information when you use our document-generation service (the “Service”). We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, including Quebec’s Law 25 and the personal-information laws of British Columbia and Alberta.
1. Information we collect
We collect the following categories of information:
- Account information — your name, email address, password (stored only as a secure hash), and role (e.g. landlord or property manager).
- Information you enter — the details you provide to generate documents, such as property addresses, lease terms, rent and deposit amounts, and the names and contact details of landlords and tenants.
- Generated documents — the leases and notices you create, which we store so you can access them in your account.
- Technical and usage data — information generated automatically when you use the Service, such as log data, device and browser information, and approximate location derived from your IP address.
- Cookies — strictly necessary cookies used to keep you signed in and to operate the Service (see Section 5).
- Waitlist — if you join a waitlist, the email address you submit and the related interest (e.g. the “Pro” plan).
2. How we use information
We use personal information to:
- provide, operate, and maintain the Service, including generating and storing your documents;
- create and manage your account and authenticate you;
- apply the correct province-specific rules to your documents;
- secure the Service, prevent fraud and abuse, and debug problems;
- communicate with you about your account, important changes, and (where you have opted in) product updates and waitlists; and
- comply with legal obligations and enforce our Terms.
3. Consent and legal basis
We collect, use, and disclose personal information with your consent, which you provide by using the Service and entering information, or as otherwise permitted or required by law. You may withdraw your consent at any time (subject to legal and contractual limits) by contacting us; doing so may prevent us from providing parts of the Service.
4. Information about tenants and other third parties
When you enter information about other people (for example, your tenants), you are responsible for ensuring you have the authority to provide it and, where required, for informing those individuals about how their information will be used. With respect to that information, you act as the controlling party and we process it on your behalf to provide the Service. Tenants or other individuals who wish to exercise privacy rights should contact the landlord or property manager who entered their information; we will assist that party as reasonably required.
7. Where your information is stored
Your information is stored on servers operated by our hosting and database providers, which may be located in Canada or the United States. Where information is processed outside your province or country, it may be subject to the laws of those jurisdictions, including lawful access requests. We take steps to ensure a comparable level of protection through our provider agreements.
8. Data retention
We retain personal information for as long as your account is active and as needed to provide the Service, and thereafter only as required to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we delete or anonymize it. You may request deletion of your account and associated documents as described below.
9. Security
We use technical and organizational safeguards designed to protect personal information, including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affecting your information occurs, we will notify you and the appropriate authorities where required by law.
10. Your privacy rights
Subject to applicable law, you have the right to:
- access the personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion of your account and personal information;
- withdraw consent to certain processing; and
- request information about how your information has been used or disclosed.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or your provincial privacy regulator (for example, the Commission d’accès à l’information du Québec).
11. Children’s privacy
The Service is intended for adults and is not directed to individuals under the age of majority. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
12. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
